Unearth Hidden Treasures: How to Master Microsoft Word's Most Underused Features

 

Microsoft Word is a powerhouse, teeming with features that most of us barely touch. However, some of these lesser-known tools could significantly boost your productivity. Here's how to master Microsoft Word's most underused features:

 

1. Spike Feature

Move beyond cut and paste with the Spike. If you need to cut multiple blocks of text or images and paste them all at once, the Spike is your ally. Use Ctrl + F3 to cut and store text in the Spike, and then Ctrl + Shift + F3 to paste it all at once.


2. Quick Parts

Do you find yourself typing the same phrases or paragraphs repeatedly? Use Quick Parts. Highlight the text, go to the Insert tab, select Quick Parts, and then "Save Selection to Quick Part Gallery". Next time, you can insert it with just a couple of clicks.


3. Readability Statistics

Go beyond spell check. Word can also analyse your writing for passive sentences, reading level, and more. Go to File > Options > Proofing and ensure "Show readability statistics" is checked. After running spellcheck, you'll see these statistics.


4. Smart Lookup

Right-click any term in your Word document and select 'Smart Lookup.' Word will search the internet for definitions, articles, and other information about the term, right within the application.


5. Format Painter

If you want to copy formatting from one section to another, the Format Painter is your friend. Highlight the text with the format you want to copy, click the Format Painter button, and then highlight the text you want to apply the format to.


6. Transcribe Audio

Did you know Word can transcribe audio for you? Go to the Home tab, and click on the Dictate dropdown, then choose Transcribe. You can upload audio, and Word will transcribe it into text.


7. Inserting Online Video

You can insert online videos directly into your Word document. Go to Insert > Online Video, and you can search for and insert videos from YouTube and other platforms.


8. Editing PDFs

Word can also edit PDF files. Just open the PDF file in Word, and it will convert the file into an editable Word document.


9. Linking to Other Parts of Your Document

Create a mini table of contents, or an index, by linking to other parts of your document. Highlight the text you want to link from, right-click and select 'Link,' then 'Place in This Document' to select where it should link to.


10. Remove Background from Images

Did you know Word can remove image backgrounds? Just click on the image, go to the Format tab, and select 'Remove Background.'
